Foundation Specialist

Duties:

St. Charles Community College is seeking a full-time Foundation Specialist who will provide support services in event management, scholarship allocation, donor relations and donor research for the Foundation as part of a team of creative and technical professionals and specialists. Duties include light accounts receivables/payables, organizing database records, project management, customer service, light marketing/communication activities and overall office support.

Other duties:

  • Provides support to the Executive Director and the Development and Foundation Relations Manager on the full fundraising cycle.
  • Assists in implementation of donor stewardship and communications plan including, but not limited to, updating the donor wall annually and organizing special projects.
  • Coordinates event logistics for the Foundation’s two major events by:  communicating with and coordinating teams of event volunteers and campus staff as it relates to producing the event, committee meetings and meeting minutes, ensuring the production and distribution of event fundraising and marketing material needs including but not limited to letters of support, sponsorship materials, invitations, postcards, and acknowledgement letters, tracking attendance, sponsorship commitments, and sponsorship recognition, and leading on-site management for the day of the event and administer all post-event activities.
  • Processes all donations and fund transfers, including bank deposits, AP/AR, Raiser’s Edge updates and acknowledgement letters. 
  • Assists team members with reconciling revenue/expenses for quarterly reports.
  • Manages donor/prospect database including accurate data entry and report writing.
  • Administrator for the Foundation’s scholarship program, by updating information on packets, website and fliers as needed, distributing applications, recording information and handling awards/denials as stated in the scholarship policy and procedure document, supporting the Foundation staff and Foundation Board scholarship committee by qualifying applications and creating packets for their review.
  • Administrator for the Foundation’s mini-grant program, by updating information on packets, website and fliers as needed, distributing applications, recording information and handling awards/denials as stated in the policy and procedure document, supporting the Foundation staff and Foundation Board mini-grant committee by qualifying applications and creating packets for their review.
  • Coordinates Donor Relations efforts: update donor wall annually and organize special projects.
  • Organizes and maintains filing system including forms, due dates, and reports. 
  • Maintains policies and procedures manual and recommend new or updated policies or procedures as needed.
  • Updates Foundation webpages, social media and online donation sites, as necessary.
  • Handles mailings/fulfillment as needed for the office, along with provide general administrative support, as needed.

Qualifications:

Degree in non-profit, business, communications or related field, or equivalent experience required.  Strong computer skills with good knowledge of developing and maintaining databases and mailing lists. Good writing skills and grammar use, detail oriented, with excellent organization, time management, and interpersonal skills.  Attention to detail, and the ability to follow through and manage multiple projects.
