Sabbatical Leave

Purpose
The purpose of sabbatical leave is to provide opportunities for professional development, retraining, and growth that will strengthen the faculty member's contribution to the College.  Leave activities will benefit the College and serve to revitalize the individual.

Eligibility
Full-time faculty members may be granted sabbatical leave after having been employed as full-time faculty by the College for twelve continuous semesters, not including summers.  After having received a sabbatical leave, the faculty member must serve another twelve consecutive semesters, not including summers, before being eligible for another sabbatical.  The Human Resources Office will verify eligibility.

Leave Options
A sabbatical leave may have one of two modes relative to salary and time:

  1. One semester [Fall or Spring] at full base salary
  2. Two consecutive semesters [Fall and Spring, or Spring and Fall] at one-half of base salary

Selection Criteria
Sabbatical leaves are awarded on a competitive basis.  The Sabbatical Committee will review all applications, which then are recommended based on their perceived benefit to the individuals and to the College.  Leaves are granted for the purpose of scholarly and/or creative pursuits that strengthen competence in the faculty member's field and enrich the individual's teaching skills or equivalent professional responsibilities.

Sabbatical Committee
The Sabbatical Committee shall consist of five members, four of whom are elected by the full-time faculty.  These four faculty members include one selected from each instructional division and one elected at-large from the full-time faculty who are not sabbatical applicants.  The faculty members who serve on the Human Resource Branch Committee select the fifth member, who will serve as the Sabbatical Committee chair.

Calendar Due Dates and Application Process
Due dates must be met; no items will be accepted after those dates.

October 1
The individual submits the Request for Sabbatical Leave, Resolution of Intent to Return, letters of recommendation, and application to the respective dean.

October 15
The dean submits all packets received and a written recommendation for each candidate to the Academic Affairs Office.  The Vice-President for Academic Affairs convenes and charges the Sabbatical Committee.

Between October 15 and November 15
The Sabbatical Committee interviews and completes its review of candidates and their applications, and submits its written recommendations to the Vice-President for Academic Affairs. 

December 15
The Vice-President submits a written recommendation for each candidate along with the Committee recommendations and applicant files to the President

January
The President submits recommendations to the Board of Trustees.

March
Applicants who are recommended by the President to the Board will give a brief summary of their proposed leave no later than at the March Board meeting.  Within one week of Board action, the Academic Affairs Office notifies applicants of the status of their leave requests.

Application
The Application consists of three parts: Feasibility, Personal and Professional Development, and Benefit to the College.

Part I: Feasibility

  1. Identify the major objectives of the proposed leave.

  2. Identify the specific activities to be completed, with corresponding timetable or schedule and strategies for successful completion.

  3. Include all supporting documentation, such as letters from employers or institutions, permissions to use special equipment, travel itineraries, etc., as appropriate.

  4. Describe the plan to evaluate the success of the sabbatical, and provide a description of the report to be given at its conclusion.

  5. Identify whether outside compensation will be received and demonstrate that there is no conflict of interest, actual or perceived, with the College.

  6. Sign the Resolution of Intent to Return [attached] assuring the Board if the leave is approved that the faculty member will return to the College and provide faculty services for at least one full academic year after completion of the sabbatical.  The Board, if requested, may grant release from such an assurance.  Such a release will be granted only under unusual and unanticipated circumstances.  If such a release is granted, the faculty member shall reimburse the College for all compensation received from the College during the sabbatical leave period.

Part II: Personal and Professional Development

  1. Describe the professional development to be gained from this sabbatical.
  2. Describe the personal development to be gained from this sabbatical.

Part III: Benefit to the College

  1. Identify the specific ways in which this sabbatical will benefit the College.

Compensation and Benefits While on Leave

  1. Compensation will continue according to the established College payroll schedule.
  2. All benefits will continue, including health insurance and retirement contributions.
  3. Sick leave days will continue to accrue in the usual manner.
  4. Full-time status will continue in accumulating years of service.

Other Provisions
Board policy allows up to 5% of the full-time faculty to be on sabbatical at any one time.  The Sabbatical Committee shall keep the number of its recommendations within that limit.

Under extraordinary circumstances [e.g., resignation, illness, acts of God, etc.] affecting a candidate, the Sabbatical Committee may be asked to reconvene and determine alternate recommendations.

A sabbatical leave by its very nature is intended for the faculty member generally to be absent from the College.  Only under extraordinary circumstances would overload or adjunct teaching at the College be appropriate as part of the sabbatical leave.

Post-Leave Requirements

  1. Upon return from sabbatical leave, the faculty member shall present a written report about the relevance and effectiveness of the activities and/or projects completed.  This report shall follow the outline presented as part of the original application.  Audiences for the report may include faculty members, administrators, students, and community members.

  2. Sabbatical reports may include demonstrations and exhibits, such as musical performances, art shows, videos, films, etc., which are illustrative of activities and/or projects undertaken during the leave.  The Academic Affairs Office requires a written summary, with a copy to the respective dean for inclusion in the faculty member's professional development file.

  3. Faculty members who have returned from sabbatical leave will be asked to offer a brief presentation at the October Board meeting regarding the relevance and effectiveness of their sabbatical leave.

Resolution of Intent to Return

I, the undersigned, do hereby resolve and assure that, if I am awarded a sabbatical leave by St. Charles Community College, upon completion of such leave I shall return to the College for a minimum period of one full academic year.  During that year, I shall provide all of the services expected of a full-time member of the College faculty. 

I fully understand that upon request the Board of Trustees may grant my release from this resolution and assurance only under circumstances it may deem to be unusual, unanticipated, and deserving.  If the Board grants such a release, I guarantee repayment to the College for all compensation received from the College during the sabbatical leave. 

I hereby sign this resolution and assurance voluntarily, with full knowledge and understanding of its binding nature and implications.
